12 cover letter examples that work, with notes on each

A cover letter example is useful for its structure, and useless for its sentences. Below are twelve complete letters for twelve different jobs, from a new graduate to a hotel general manager, each with notes on individual sentences that say what they are doing there. Find the letter nearest your situation, read the notes, then fill the same structure with facts from your own resume.

The letters are grouped by kind of work and each is written in one of four tones. Every person and employer in them is invented, so the numbers belong to the examples. Yours have to come from your own record.

Key points

  • Borrow an example's structure: the order of its paragraphs, where the number sits, how it closes. Never borrow its facts.
  • Open with something only you could write: a result, a scale, a referral, a story from the work, a fact about the employer, or a reaction to the listing that leads straight to evidence.
  • Give a result two numbers: before and after, or what you did against the target.
  • Use the listing's own words once, then answer them with something you did.
  • Leave out adjectives about yourself, and do not apologise for what your resume lacks.
  • Read the notes as well as the letters. Each names a move, and the move is what you can reuse.

How to use an example without copying it

An example shows what a finished letter looks like, which is hard to picture from advice alone. The risk is that its sentences sound better than yours and you keep them. A copied letter describes someone else, and it is generic: nothing in it was written for the job in front of you.

So take the structure and leave the facts.

  • Take the order: what the first paragraph does, which requirement comes second, where the employer is mentioned, what the close asks for.
  • Take the shape of a sentence. "From X to Y by doing Z" works in any job.
  • Leave the numbers. A figure that is not in your resume does not go in your letter.
  • Leave the phrases and the employer paragraph. They were written by one person about one company.

Weak

At my current company I brought the processing time down from ten working days to five.

Strong

At Marlpit Dental I brought the wait for a new-patient appointment down from 19 days to 8.

Both borrow the frame of a sentence in the accountant's letter below: where, what, from how much to how much. The weak one borrows the numbers too and blurs the rest. The strong one fills the frame from the writer's own resume, so every part of it can be defended at interview.

Software engineer, data analyst and accountant

Three letters where the evidence is a measurement: milliseconds, journeys and working days.

1. Software engineer

Ngozi Adeyemi has five years as a backend engineer and is applying for a senior role at a payments company. The letter has to prove she made a busy service faster and kept it fast. See also our page on the cover letter for a software engineer.

Last year I cut the 95th-percentile response time of the checkout service at Rowanby Tickets from 1.8 seconds to 400 milliseconds1, and it has held through two festival on-sales at 9,000 requests a second. Your listing for a Senior Backend Engineer says Larchgate's payment API has to stay fast while volume triples. I have solved that problem once and want to solve it at your scale.

The gain came from measuring first. I traced every request, found that three database queries accounted for most of the wait, rewrote two and cached the third. Then I added a load test to the release pipeline so a slow change fails before it ships2. We have not rolled back a release for latency since.

You also ask for someone who raises the standard of a team. I review about twenty pull requests a week, wrote our guide to database migrations in Go and PostgreSQL, and mentored two junior engineers who now take on-call shifts alone3.

Larchgate publishes its incident reports. I have read the last six4, and the one on retry storms describes a failure I have debugged in production. I would like to talk it through, and can interview any weekday after 3 pm West Africa Time.

Why this works

  1. 1The result comes first, with both ends of the change. The rest of the sentence shows it held under real traffic.
  2. 2One repair turned into a safeguard. It shows judgement about systems without using the word.
  3. 3The soft requirement, raising a team's standard, answered with what two other people can now do.
  4. 4The employer paragraph proves she read something the company publishes, and ties one item to her own experience.

2. Data analyst (recent graduate)

Dear Ms Brennan,

Your open data was on my screen for most of last winter. For my final-year project I took 1.2 million of the journeys Velloway publishes1 and worked out which docking stations run empty before 9 am on weekdays, so I was glad to see you are hiring a Junior Data Analyst.

I cleaned the data in Python, wrote the queries in SQL and built a model that caught 81% of empty stations an hour ahead, on a month it had not seen2. The finding my supervisor liked most was simpler: eleven stations caused half the morning shortages, and nine of them sit at the top of a hill3.

I have done this work for an employer too. During a ten-week placement at Harrowmead Housing I rebuilt the monthly repairs report, replacing a spreadsheet that took a day to update with a query that runs in four minutes. The repairs team still uses it.4

Your listing names van rebalancing as next year's priority. I would enjoy showing you the hill-station analysis and hearing how close it comes to what your team already knows5. I am free for a call any morning.

Why this works

  1. 1A graduate's best evidence is often a project. This one used the employer's data, so it is a result and a connection at once.
  2. 2Seven words that tell an analyst the model was tested fairly. Knowledge shown in passing.
  3. 3The finding in plain words. Turning analysis into a sentence a manager can act on is the job.
  4. 4Ten weeks with an employer gets its own proof: what he built is still in use.
  5. 5A modest close that offers something to look at. The letter never mentions how little experience he has.

3. Accountant

Priya Raghunathan is a management accountant applying to be Finance Manager of a group of garden centres. The listing sets a target for the month-end close, so the letter starts there and has to prove she has shortened one without losing accuracy.

Your listing for a Finance Manager names one target above the rest: a month-end close in under seven working days1 across all fourteen garden centres. At Brackenfield Foods I brought the close down from ten working days to five, and it has stayed there for eighteen months.

I did it by moving work out of close week. Bank and supplier reconciliations now run weekly, each site manager completes an accruals checklist by the 28th, and I replaced four linked spreadsheets with one stock valuation report drawn straight from the ledger. The auditors raised nine points the year before the change and two the year after.2

You also ask for someone who can explain the numbers to people who are not accountants. Each month I take the management accounts to six department heads and go through their variances line by line. Last year those meetings found £84,000 of freight charged to the wrong cost centre3.

I qualified as a chartered accountant in 2021 and have managed two accounts assistants since 2023. Brindlecote's plan to open three sites next year is what draws me: new branches are where a close slips first4. I can meet any day after 4 pm.

Why this works

  1. 1The letter opens on the employer's target, in the employer's words. The next sentence answers it and says the change lasted.
  2. 2A second measure, from outside her team. Faster did not mean careless.
  3. 3Explaining numbers to non-accountants is a soft skill. She proves it with what those meetings found.
  4. 4The employer paragraph in one clause: their plan, tied to the problem she has solved.

Marketing manager, graphic designer and sales

Three letters about winning customers. Results in this work are easy to claim, so each letter puts the method beside the number.

4. Marketing manager

Yuki Tanabe leads subscriber marketing at a skincare brand and is applying to a tea company that has just moved to subscriptions. She has to show she understands that business and can run a budget and a team. See also the cover letter for a marketing manager.

Pemberleaf's move from one-off gift boxes to a monthly subscription changes what your marketing has to do: the first order matters less than the fourth1. That is the problem I have worked on for three years at Saltmarsh Skincare, and it is why I am applying to be your Marketing Manager.

When I joined, 38% of Saltmarsh subscribers cancelled within ninety days. I rebuilt the first three months of email around how to use the products, moved a fifth of the paid social budget into a referral scheme, and tested each change against a holdout group2. Ninety-day cancellations are now 24%3, and referred customers account for one new subscriber in six.

Your listing asks for someone to run a budget and a team. I plan and report on an annual spend of A$640,000 across paid social, search and email, and I manage two marketing executives and a freelance designer. Cost per new subscriber has fallen from A$41 to A$29 in two years.

Why this works

  1. 1The first sentence is about the employer's business. She shows she understands the problem before saying she has worked on it.
  2. 2The method, in seven words. It tells a marketer that the results which follow were measured.
  3. 3The second number of a pair. Without the 38% two sentences earlier it would mean nothing.
  4. 4Mentioning the failed tests makes the successful ones easier to believe.

5. Graphic designer

Tomás Herrera designs packaging at a small studio and is applying for an in-house role. His portfolio will show his eye, so the letter has to show what a portfolio cannot: how he thinks, and that his files print. See also the cover letter for a graphic designer.

Forty-two jam labels, one afternoon, and a printer who needed files by five.1 That was the day I stopped designing labels and built a label system: one grid, two typefaces and a colour for each fruit2. The next range of thirty took me a morning.

I have spent four years at Hazel & Rook designing packaging and identities for food and drink producers. The system above was for Orchard Lane Preserves. After the relaunch their jars went from three supermarket listings to eleven3.

Your listing for a Senior Designer asks for someone to bring sixty products into one family before the spring range. That is the work I like best: deciding the rules once, writing them down, and making artwork that printers accept the first time4. I prepare my own print-ready files, I have stood at the press for colour checks on nine jobs, and I keep brand guidelines to twelve pages so that people open them.

Why this works

  1. 1The creative tone allows a scene as an opening. This one is from the work, and one sentence later it is the skill the listing wants.
  2. 2The design described so a design lead can picture it. Nothing here claims an eye for detail.
  3. 3A commercial result. It says the design sold, which a portfolio cannot.
  4. 4Production skill stated as an outcome, then backed with press checks and print-ready files.
  5. 5A close that fits the trade: he offers to bring the physical work.

6. Sales (account executive)

Callum Fraser sells fleet-tracking software to hauliers and has been referred by someone at the company he is applying to. A sales letter has to give results against target and say how they were won.

Tomasz Wrona, who manages your northern accounts, suggested I write to you1 about the Senior Account Executive role. He and I competed for the same haulage customers for two years, and he will tell you I won more of them than he would have liked2.

Last year I closed £1.34 million of new business at Tarnside Telematics against a target of £1.1 million3, my third year running above target. Forty-one of those deals were fleets of under fifty vehicles, the segment your listing says Quarrington wants to grow.

I win small fleets by doing the arithmetic for them. Before a second meeting I ask for a month of fuel receipts and show the owner, lorry by lorry, what each mile is costing in fuel4. My sales cycle runs to 34 days where the team's runs to 52, and 92 of my 100 largest customers renewed last year.

Half an hour is enough for me to walk you through the fuel calculation and my results against target, quarter by quarter, for three years. I am free on Thursday or Friday.

Why this works

  1. 1A referral goes first, with the person's name and role. Ask their permission before you use it.
  2. 2The confident tone at work: the boast is handed to someone the reader can ask.
  3. 3A sales figure means little without its target. He gives both, and how many years running.
  4. 4The method behind the numbers. The reader can picture him doing the same for their customers.

Registered nurse, teacher and customer service

In these jobs the results are people: patients, pupils and customers. The letters count them.

7. Registered nurse

Grace Mwangi has five years on an acute medical ward and is applying for a senior post on a respiratory unit. The letter has to establish her level at once, show one improvement she led, and match her experience to the specialty. See also the cover letter for a registered nurse.

For five years I have nursed on a 28-bed acute medical ward at Ashcombe Infirmary, and for the last two I have been the nurse in charge on nights, responsible for six staff and every patient on the ward1. I am applying for the Senior Staff Nurse post on your respiratory unit.

Your listing asks for experience of leading a quality improvement. In 2025 I led our falls project. I audited three months of incident reports, found that most night-time falls happened between 2 and 5 am on the way to the toilet2, and introduced a midnight check for every patient assessed as high risk. Falls on nights went from fourteen in the quarter before to six in the quarter after3, and two neighbouring wards adopted the check in January4.

About a third of our patients are admitted with respiratory conditions. I care daily for patients on non-invasive ventilation and high-flow oxygen, I am the ward's link nurse for tracheostomy care5, and I have supervised eleven student nurses through their placements.

Wrenfield's nurse-led follow-up clinic for patients after discharge is what brought me to this listing: I would like to work somewhere that follows its patients home. I can visit the unit on any weekday I am not on shift.

Why this works

  1. 1Ward type, beds and role tell a nursing reader her level before any result is given.
  2. 2The audit's finding, in detail only the person who did the audit would have.
  3. 3Counts, with the period stated. For numbers this small, a count is the honest form.
  4. 4The change spread beyond her own ward.
  5. 5A named responsibility that matches the specialty does more than a list of skills.

8. Teacher

Aroha Parata has taught maths for six years and is applying to a school that wants someone for its least confident students. The letter has to show what she does in a classroom and what came of it.

I read your listing for a maths teacher on the bus home from parent interviews, and by my stop I had decided to apply1. You are looking for someone to teach Years 9 to 13 and to take on the students who have decided maths is not for them. Those are the classes I have asked for in each of my six years at Stonecroft College.

Two years ago I was given a Year 11 class of 26 who were all expected to fail the end-of-year exam. I retaught fractions and ratio from the start, set a ten-minute quiz every Monday so that nobody could fall behind unnoticed, and rang home with good news as often as bad2. Nineteen of them passed.3

Your listing also mentions the homework club. I started ours: it runs on Tuesdays and Thursdays, about thirty students come each week, and four Year 13 students tutor in it. I would gladly help with yours.

Could I come in and teach a lesson?4 I am free on Wednesday afternoons and can bring the Monday quizzes with me.

Why this works

  1. 1A friendly opening may begin with a reaction. It takes one sentence, and the next is about the job.
  2. 2A habit that shows what kind of teacher she is. No adjective would do it as well.
  3. 3Four words in a sentence of their own. They land because the paragraph gave the starting point first: all 26 expected to fail.
  4. 4The close asks for the thing that would show her work best, and says what she will bring.

9. Customer service

Linh Tran has two years on a broadband support desk and is applying to a small accounting-software company. The letter is itself a sample of how she writes to people, so it opens with a customer's words.

"I have explained this four times already.1" A customer said that to me in my first month at Copperline Broadband, and she was right2: each time she rang, a different adviser had started her fault from the beginning.

I could not fix the network, but I could fix the notes. I wrote a three-line format for every open case (what the customer has told us, what we have tried, what happens next3) and asked my team of nine to try it for a fortnight. Repeat contacts on open faults fell by a quarter, and all four support teams now use the format.

That is the support your listing for a Customer Support Specialist describes: "customers should never have to tell us twice4." In two years I have answered about 60 chats and calls a day, kept a satisfaction score of 4.7 out of 5, and resolved 78% of cases at first contact against a team figure of 69%. Why this works

  1. 1The letter opens in a customer's voice. It is still about the job: this is the problem she went on to fix.
  2. 2Four words that take the customer's side. They do the work of a sentence claiming empathy.
  3. 3The fix given in full, so the reader could use it tomorrow.
  4. 4The listing's own words, placed where they join her story to the employer's standard.

Project manager, warehouse supervisor and operations director

Three letters about running things, at three sizes: a project, a shift and a hotel. The supervisor and the director are applying for a kind of job they have not held before, and neither letter treats that as something to explain.

10. Project manager

Kwame Boateng manages healthcare fit-outs and is applying to refit veterinary practices while they stay open. He has to prove delivery on time and on budget, by a method that will repeat across twenty sites. See also the cover letter for a project manager.

In March I handed over the refurbishment of a six-surgery dental clinic three weeks early and £20,000 under its £1.2 million budget, and the clinic did not cancel a single day of appointments1 while we worked. Your listing for a Senior Project Manager describes twenty veterinary practices to be refitted over three years, all of them open throughout.

At Pallister Interiors I have delivered fourteen healthcare fit-outs in six years. The method is the same each time: a programme phased room by room and agreed with the practice manager before any subcontractor is appointed, a risk register reviewed every Monday, and one weekly report to the client showing cost, time and the three decisions I need from them2. On the dental clinic that report is why we finished early: the client approved a change to the X-ray room in two days.

I manage up to nine subcontractors on site and hold the budget myself. On each of my last five projects the final cost was within 2% of the figure agreed at the start3.

11. Warehouse supervisor

Marek Nowak is a night-shift team leader applying for his first supervisor post, at a distribution centre that has not opened yet. The letter has to show that he already runs a shift.

Since I took the shift on, mis-sorts are down from 31 a night to 8, mostly because I moved the newest starters off the busiest chute and paired each with an experienced sorter for their first month2. We have gone 410 days without a lost-time injury3. And at last year's peak we cleared 19,000 parcels a night with six agency staff where the year before it took fourteen4.

Your listing asks for someone who can train. I hold a forklift instructor's certificate and have put 17 colleagues through their reach truck assessment, all of whom passed first time. I also do the rota, the return-to-work interviews and the morning handover to the day manager.

Why this works

  1. 1Team, deadline and volume in one sentence. The reader knows the size of the job before the title appears.
  2. 2The cause of the improvement is a decision about people, the kind a supervisor makes.
  3. 3Safety is a result too, and a count of days states it plainly.
  4. 4A saving given in the terms an operations manager budgets in.

12. Operations director (senior leader)

Farah Siddiqui is a hotel general manager applying to run operations for a group of eleven hotels. The letter has to give the size of what she has run, show the commercial result, and deal plainly with the step from one site to several.

The Aldermoor is a 180-room hotel with 140 staff and revenue of £14 million1. I have run it for four years, and for the last two it has been the most profitable of the nine hotels in its group. Lanthorn is looking for a Regional Operations Director to bring five newly acquired hotels up to the standard of its other six. I have done that work in one building and I am ready to do it in five.2

The Aldermoor was losing money when I arrived. I renegotiated the laundry and linen contracts and brought the restaurant back in-house. I also built the housekeeping rota around check-out times, which took payroll from 38% of revenue to 31%3. Staff turnover fell from 52% a year to 27%, and our guest review score rose from 7.9 to 8.8. We then refurbished every bedroom in fourteen months without closing for a night.

Acquired hotels arrive with their own managers, suppliers and habits. For the past year I have chaired my group's general managers' forum, where nine of us agreed a single purchasing list, and I know how much patience that takes4.

Why this works

  1. 1A senior letter gives the size of the responsibility first: rooms, people and money.
  2. 2She has not held a regional post. The letter says what she has done and what she wants next, with no apology for the distance.
  3. 3One action tied to one line of the accounts: the cause as well as the figure.
  4. 4The only sentence about temperament, and it follows evidence of leading her peers.

What all twelve have in common

The jobs, tones and openings differ. The moves underneath are the same, and they are what to carry into your own letter.

  • A first paragraph nobody else could send. A result, a scale, a referral, a story from the work, a fact about the employer, or a reaction to the listing that leads straight to evidence. None begins "I am writing to apply".
  • Two numbers for the main result. Ten days to five. Fourteen falls to six. £1.34 million against £1.1 million.
  • The listing, named and answered with something the writer did.
  • Proof that it lasted. A report still in use, a check two other wards adopted, a third year above target.
  • How, as well as how much. The method sits beside the result, so the reader can picture it repeated.
  • No adjectives about the writer, and no apology. The words motivated and passionate do not appear. The graduate does not mention his lack of experience, and the people applying a level above their present job do not explain themselves.
  • A close that makes the next step easy. Something to show (a report, a set of quizzes, a jar of jam) or a time to talk, and usually both. Offer only what is yours to show: your own results and methods, never your employer's confidential figures.

All twelve are variations on the template in our main guide, which you can copy and fill from your own resume. They run from about 185 to 230 words, under the 250 to 400 we recommend, because each answers two of the listing's requirements. Add a third with its evidence and yours will reach full length. Common questions

Can I copy one of these cover letter examples?
Copy the structure, and nothing else. The people in these letters are invented and so are their numbers, and a letter should contain only what is in your own resume. A letter made of your own facts is also one you can talk about when an interviewer asks.
How do I adapt an example to a different job?

What if my job is not among the twelve?
Choose by the kind of evidence you have and ignore the job title. If your results are people helped or taught, read the nurse, teacher and customer service letters. If they are money or time, read the sales, accountant and project manager letters. If you are moving into a new field, see Career change cover letter.
Which tone should I choose for my cover letter?
Choose by the reader. A formal employer or a senior post suits the professional tone, a small team the friendly one, and a role where directness is part of the job the confident one. Keep the creative tone for roles where the letter is itself a sample of your work. Whichever you pick, the facts stay the same.
