How to write a cover letter for a job in Germany

By The Cover Letter GuruUpdated 9 min read

A German cover letter, the Anschreiben, is one A4 page laid out as a formal business letter: your details, the employer's address, place and date on the right, a bold subject line, then "Sehr geehrte Frau [surname]," and "Mit freundlichen Grüßen". It goes with a tabular CV, often a photo, and copies of your certificates.

Below: what the letter is called and whether you need one, the layout, the greeting and sign-off, the rest of the application, and the same letter written twice, once in English for a firm that advertises in English and once in German.

Key points

  • Write in German unless the job advert is in English.
  • Keep the Anschreiben to one A4 page, laid out to DIN 5008: place and date on the right, a subject line with no word "Betreff" in front of it.
  • Open with "Sehr geehrte Frau [surname]," or "Sehr geehrter Herr [surname]," and start the next line in lower case. With no name, "Sehr geehrte Damen und Herren,".
  • Close with "Mit freundlichen Grüßen" and no comma, then sign by hand or with a scanned signature.
  • Give a salary and a start date when the advert asks for them, in the last paragraph.

What it is called, and whether you need one

The cover letter is the Anschreiben. It is one part of the Bewerbungsunterlagen, the application documents, which the Bundesagentur für Arbeit lists as the Anschreiben, the CV (Lebenslauf), a photo, and certificates and references.

Do not confuse it with the Motivationsschreiben. That is a longer, more personal statement of your motives and goals, used mostly for university places, scholarships and some competitive programmes, and sent in addition to the Anschreiben when it is asked for (StepStone). A job advert that asks for an Anschreiben wants the one-page letter described here.

The letter is still the default, but it is no longer universal. Some large employers have made it optional, and online forms often have no place for one. Karrierebibel advises sending one unless the advert says plainly that you need not. That is our advice too: where the form has an upload for it, use it.

Write the letter in German unless the advert is in English. deutschland.de, the federal government's information portal, gives the same rule and suggests having a native speaker read your documents before you send them.

Length and layout: one page, as a business letter

One A4 page is the norm (Karrierebibel; the University of Ulm's career service says the same). The layout follows DIN 5008, the German standard for business letters, and Karrierebibel's guide to it sets out the order:

  1. Your name and contact details at the top.
  2. The employer's address on the left, with the contact person's name if you have it.
  3. Place and date on the right, written "Hamburg, 07.10.2026".
  4. A subject line in bold, two lines below the date, with no word "Betreff" in front of it: "Bewerbung als Junior Data Analyst". Add the advert's reference number if it has one.
  5. The greeting, the body, the sign-off and your signature.
  6. "Anlagen" at the foot, listing what you have enclosed.

Use a plain font at 11 or 12 point. Guides differ by a point, and none asks for more than 12. For fonts and margins in general, see Cover letter format.

The greeting and the sign-off

GermanNotes
You know the nameSehr geehrte Frau Wendeborn, / Sehr geehrter Herr Wendeborn,"Geehrte" for a woman, "geehrter" for a man.
The reader has a doctorateSehr geehrte Frau Dr. Wendeborn,The title stays in the greeting, after Frau or Herr (e-fellows).
You do not know the nameSehr geehrte Damen und Herren,Correct, but distant. Look for a name first.
The sign-offMit freundlichen GrüßenNo comma after it. Your signature, then your typed name.

Two points of punctuation catch most foreign applicants. After the comma that ends the greeting, the first word of the letter starts in lower case, unless it is a noun or "Sie". And the sign-off takes no punctuation at all. Both are rules in Duden, the standard reference for German spelling. (Swiss usage differs; this page is about Germany.)

Weak

Sehr geehrte Frau Dr. Wendeborn, Hiermit bewerbe ich mich... Mit freundlichen Grüßen,

Strong

Sehr geehrte Frau Dr. Wendeborn, in Ihrer Ausschreibung... Mit freundlichen Grüßen

The weak version capitalises after the comma and adds an English comma to the sign-off. It also opens with "Hiermit bewerbe ich mich" ("I hereby apply"), a stock opening the University of Ulm advises against.

Write to the reader as Sie throughout, even if the advert says du: e-fellows gives the same advice. Sign by hand. For a PDF sent online, a scanned signature is usual but not required (Karrierebibel).

What goes with it: CV, photo, certificates

  • The Lebenslauf is tabular and in reverse order, the most recent first (StepStone). Many German guides, StepStone among them, tell you to sign it with place and date at the foot.
  • A photo is voluntary. Since the General Equal Treatment Act (AGG) came into force in 2006 it has not been a requirement, but it is still widely used (Karrierebibel, deutschland.de). If you include one, use a professional portrait, not a holiday picture.
  • Certificates and references: copies of your degree certificates and, if you have worked before, your Arbeitszeugnisse (written references from employers). Send copies, never originals.

Two things belong in the letter when the advert asks for them. A salary expectation (Gehaltsvorstellung) is given as a gross annual figure in the last paragraph (Karrierebibel). A start date (Eintrittstermin) depends on your notice period; give a date rather than "immediately" if you are employed (Karrierebibel).

The same application in English and in German

Aditi Raman has just finished a master's degree in business informatics in Hamburg and works there as a Werkstudentin, a student employee, at a parcel company. She is applying to be a junior data analyst at Kestrelwerk Logistik GmbH. The advert is in English, the team works in English, and it asks for a salary expectation and a start date. Both letters are fiction: the people and the company are invented.

Application for Junior Data Analyst, reference DA-26111

Dear Dr Wendeborn,2

Your advert asks for someone who can turn delivery data into something dispatchers use every day. For the past two years I have done that as a working student at a Hamburg parcel company: I built the Power BI dashboard that 40 dispatchers now use3 to plan the next day's routes.

My master's in business informatics, completed in September 2026, focused on forecasting. For my thesis I used Python and SQL to forecast four weeks of delivery volumes for 120 branches of a wholesaler, to within 6 percent on average.

I have also learned to write results for people who do not read statistics. Each week I summarise the key figures on one page for the shift leaders, and they act on it. My German is at C1 level, so I can work with colleagues and data in either language.

I can start on 1 December 2026, and my salary expectation is EUR 52,000 gross a year.4 I would welcome the chance to show you the dashboard in an interview.

Kind regards, Aditi Raman

Why this works

  1. 1The German subject line, kept in English. A German reader looks for it, and it costs one line.
  2. 2English conventions in an English letter: "Dear", the title and the surname, and an upper-case word after it.
  3. 3The advert's need, answered with a thing she made and who uses it.
  4. 4The advert asked, so she answers in the last paragraph, as she would in German: a date, and a gross annual figure.
  5. 5The English counterpart of "Anlagen". A German employer expects the certificates and the reference with the letter.

Bewerbung als Junior Data Analyst, Kennziffer DA-26112

Sehr geehrte Frau Dr. Wendeborn,

Why this works

  1. 1Place and date, right-aligned on the page, in the numeric form DIN 5008 uses.
  2. 2The subject line, in bold on the page, with no "Betreff:" in front of it.
  3. 3Lower case after the greeting's comma. "Ihrer" keeps its capital because it is the formal "your".
  4. 4A gross annual figure, with the German thousands point. A plain statement, not "ich würde mir vorstellen".
  5. 5No comma after the sign-off. The gap is where she signs by hand, or places a scanned signature in a PDF.
  6. 6The enclosures, with no colon, as DIN 5008 sets it out.

The German letter is the English one in German form, not a word-for-word translation. The address block is fuller, the date is numeric, and the body sentences are built the German way. If you write in German as a second language, have a native speaker read the letter before you send it.

Mistakes to avoid if you are used to applying elsewhere

  • An English layout. A letter with no address block, no date and no subject line looks unfinished to a German reader. Use the DIN 5008 order above.
  • Spelling the reader's or the company's name wrong. deutschland.de lists it among the mistakes that end an application. Copy the name from the advert.
  • Missing documents. "The usual application documents" means the letter, the CV and your certificates. Leaving the certificates out is another mistake on the same deutschland.de list.
  • Hedging. "Ich würde mich freuen" and "ich könnte" sound unsure; the University of Ulm advises against the subjunctive. "Ich freue mich" says the same thing.
  • No signature on the letter or, where German guides expect it, on the CV.
  • Repeating the CV. The letter should say why this job and what you will bring; the CV holds the dates.

Common questions

Can I apply in English for a job in Germany?
Yes, if the advert is in English. If it is in German, write in German, and have a native speaker read the letter before you send it.
Do I need a photo on a German CV?
No. A photo has been voluntary since the General Equal Treatment Act of 2006, though many applicants still include one. If you do, use a professional portrait.
Is "Sehr geehrte Damen und Herren" still acceptable?
Yes, when you cannot find a name. It is correct but distant, so look for the contact person in the advert or on the company's site first.
Should the German cover letter be signed?
Yes. Sign it by hand on paper. For an online application, a scanned signature in the PDF is usual, though not required.
How long is an Anschreiben?
One A4 page. That includes the address block, the date and the subject line, so the body is usually four or five short paragraphs.
